Adding comments to a recording

As part of our analyses, we examine complex business processes characterized by a large number of variations and the occurrence of non-standard scenarios.

Therefore, a key element of the analysis is the observations and comments of those directly involved in the process. Their operational knowledge serves as a vital source of information that allows us to better understand the flow of processes, identify exceptions, and pinpoint potential areas for optimization.

Currently, such comments are collected using external tools (e.g., notes, instant messengers), which:

  • makes it difficult to link comments to specific process steps,

  • negatively impacts data consistency,

  • increases the labor intensity of the analysis,

  • introduces the risk of losing or omitting important information.

Therefore, we propose introducing a feature that allows comments to be added directly during process recording.

Proposed Solution

  1. Add a comment button to the recording interface

A dedicated button for adding a comment should be placed in the process recording window (as shown in the attached visual example).

  1. Ability to enter comment content

After clicking the button, the user should be able to enter a comment in a dedicated text field:

  • support for text of any length,

  • ability to edit before submission,

  1. Recording comment metadata

Each comment should be automatically recorded along with the following information:

  • exact time of addition (timestamp),

  • user identification (comment author),

  • comment content,

  • link to a specific point in the process recording.

  1. Availability of comments for analysis

Recorded comments should be available during the subsequent process analysis phase in a way that allows for easy viewing and linking to the relevant steps in the recording.

  • improved quality and completeness of collected data,

  • better representation of the actual process flow,

  • simplification of the analysis process by centralizing information in a single tool,

  • reduced need for external tools,

  • improved efficiency of analytical teams.
