Integrating Kibana dashboards in IBM BPM (now IBM BAW - Business Automation Workflow) Process Portal

Adding Kibana dashboards to the IBM BPM (now IBM BAW - Business Automation Workflow) Process Portal can be a powerful integration,

Why It Could Be a Good Idea

Enhanced Visualization

IBM BPM has built-in reporting tools (like Process Performance dashboards), but they’re often limited in flexibility. Kibana offers:

  • Custom dashboards
  • Advanced filtering
  • Real-time log and metric visualization
  • Integration with ElasticSearch, which can index large volumes of data quickly

You can use this to monitor:

  • Process performance
  • Task durations
  • SLA violations
  • System-level metrics (e.g. latency, exceptions, throughput)

Operational Intelligence

If you’re already logging BPM events (via Event Emitters, custom logging, or IBM ODM rules) to ElasticSearch, Kibana can give:

  • Near real-time insights
  • Correlation across systems (e.g. BPM + database + API logs)
  • Alerting using Elastic Watcher (or external tools)

3. Cross-Team Benefits

Business users, dev teams, and ops can all benefit:

  • Business: Track KPIs, SLAs, process bottlenecks
  • Ops: Monitor server health, failures
  • Dev: Debug process issues using correlated logs

⚙️ How to Integrate Kibana with IBM BPM Portal

1. Embed Kibana Dashboards

You can embed Kibana dashboards inside the Process Portal UI (custom page) via an iframe, assuming authentication is managed:

  • Embed in custom coach views or custom dashboards
  • Use a reverse proxy or SSO layer to secure access

2. Export BPM Data to ElasticSearch

You need data in ElasticSearch. Options:

  • Use IBM BPM REST APIs to export process/task instance data regularly
  • Create event listeners or custom Java components to push logs directly
  • Use Kafka connectors (if you log to Kafka) to stream into ElasticSearch

3. Security & Access

Make sure to handle:

  • SSO between BPM and Kibana
  • Role-based access control on dashboards
  • Secure data transmission
